Purpose
In this role, you will be responsible for providing front-desk reception and administrative support in a bilingual environment, ensuring the professional and courteous handling of all visitors, calls, and internal requests. The ideal candidate will possess excellent interpersonal skills, fluency in both English and Spanish, and the ability to manage multiple tasks efficiently while representing the company’s image with professionalism and warmth.
Tasks
Serve as the first point of contact for visitors and callers, providing professional reception services in English and Spanish.
Answer, screen, and direct incoming telephone calls promptly and accurately.
Manage visitor access, ensuring proper registration and coordination with staff for meetings.
Coordinate meeting room bookings and ensure readiness of spaces for internal and external meetings.
Handle incoming and outgoing correspondence and courier services.
Maintain an organized, clean, and welcoming front desk area.
Support administrative tasks such as filing, data entry, supply management, and document preparation.
Assist in the scheduling of meetings, travel arrangements, and calendar management for executives when required.
Process and log invoices and basic administrative documentation.
Collaborate with internal departments to ensure effective communication and workflow.
Uphold the company’s standards of confidentiality, image, and customer service at all times.
Knowledge of:
Office administration and reception procedures.
Use of office equipment (multi-line phone system, printers, scanners).
Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
Basic knowledge of scheduling and travel coordination tools
Skills:
High level of interpersonal skills to work and interact effectively with others.
Oral and written communications skills.
High target oriented
Good communications skills in English (listening, writing, speaking, and reading).
High level of reporting skills
Experience / Education:
Bachelor’s Degree in Administration, Hospitality, Languages, Public Relations, or related field.
Minimum of 1–2 years of experience in a reception, administrative support, or customer service role in a bilingual environment.
Literacy in Microsoft Office and basic administrative software.
